# Power Automate vs Zapier vs Make vs n8n: which automation tool is right for your SME?

Short answer: if your company already runs on Microsoft 365, start with Power Automate. If you need to connect two or three SaaS apps quickly, with no technical team, Zapier is the fastest route. If your scenarios are complex and the budget is tight, Make usually costs less. And if data must stay on your own infrastructure, or your team is technical, n8n is the strongest choice. There is no single "best" tool — there is the one that fits your ecosystem, your volume and your GDPR obligations.

## Four tools, four philosophies

Before the table, it helps to understand where each tool comes from. That explains almost every difference.

- [Power Automate](https://www.avantit.pt/en/services/power-platform/power-automate/) is Microsoft’s automation tool. It is part of the Power Platform and lives in the same tenant as your Microsoft 365. It understands SharePoint, Teams, Outlook, Excel and Dataverse natively. It also includes desktop automation (RPA) for legacy applications with no API.

- Zapier was built to connect SaaS apps to each other, with no code. Its strength is the app catalogue, the largest of the four, and how quickly you can get started.

- Make (formerly Integromat) uses a visual “scenario” editor where you can see the data flow, with branches, iterations and error handling. It gives more control than Zapier, with a slightly steeper learning curve.

- [n8n](https://www.avantit.pt/en/services/power-platform/n8n/) is a workflow tool with a “fair-code” (source-available) licence. You can use it in the vendor’s cloud or host it on your own servers. It lets you mix visual nodes with JavaScript or Python code.

## Comparison table

Prices change often. That is why the table describes the cost model , not fixed amounts. One verified example: as of October 2026, Microsoft Portugal’s pricing page lists Power Automate Premium at €13.00 per user/month, paid yearly, and Power Automate Process at €130.00 per bot/month, paid yearly (excluding VAT). Always confirm on the vendor’s page before budgeting.

## How each pricing model behaves in practice

The cost difference rarely lies in the entry price. It lies in how volume is counted.

Power Automate charges per person (or per bot). Many Microsoft 365 licences already include flows with standard connectors such as SharePoint, Outlook or Teams. The cost appears when you need premium connectors (for example SQL Server, Dataverse or custom connectors) or RPA. A single premium connector in a flow requires premium licensing for that flow.

Zapier counts tasks: every successful action step counts as one. A flow with five actions, running a thousand times a month, is five thousand tasks. It is cheap at low volume and gets expensive as flows grow in steps and frequency.

Make counts credits per module executed. Filters, routers and iterations consume them too. An iterator over 50 rows runs the next module 50 times. In general, for the same volume, Make tends to cost less than Zapier, but scenario design needs attention.

n8n in the cloud counts executions of the whole workflow, regardless of the number of steps. That favours long flows. When self-hosted, the Community Edition has no licence cost: you pay for the server and, above all, for the time of whoever maintains, updates and monitors it. That cost is real and belongs in the numbers.

## When to choose each

### Already on Microsoft 365: Power Automate

If your documents are in SharePoint, your conversations in Teams and your email in Outlook, Power Automate is the natural starting point. Expense, leave or supplier invoice approvals, Teams notifications, files filed automatically in SharePoint: all of this works with no extra infrastructure and the same sign-in. Administration sits in the tenant IT already manages. It also has RPA for legacy systems with no API. See [10 practical examples from Portuguese companies](https://www.avantit.pt/en/blog/power-automate-use-cases-portuguese-companies/).

### Small team, quick SaaS links: Zapier

For a marketing or sales team that needs to push leads from a form into the CRM and post a message in Slack, Zapier does it in minutes. It needs no training. The catalogue covers almost any SaaS. The limits show up with volume, complex logic or strong EU data residency requirements.

### Complex scenarios at controlled cost: Make

If you need branches, loops over lists, data transformation and visible error handling, Make gives you that control without programming. It is a good Zapier alternative when the task bill starts to grow. You can choose an EU data zone when you create the organisation.

### Data sovereignty, technical team, internal systems: n8n

n8n makes sense when data cannot leave your network, when the flow has to reach internal databases or APIs, or when the volume would make other tools expensive. Self-hosted, every credential and every payload stays inside your perimeter. The trade-off: someone has to run the platform, apply updates and ensure backups. The licence permits internal business use; the restriction applies to reselling it as a service.

### What about combining tools?

It is common and healthy. A frequent pattern: Power Automate for everything that lives in Microsoft 365, and n8n for integrations with non-Microsoft systems or with self-hosting requirements. What matters is clear rules on which tool is used for what, so you do not end up with two automation islands that nobody owns.

## Governance and GDPR for European SMEs

Automating means moving personal data between systems. For an SME in Portugal or elsewhere in the EU, that has direct GDPR consequences.

Know where data is processed. In Power Automate, you can create environments in the Europe region. In Make, the data zone (EU or US) is set per organisation. Note that Make itself states some AI features are processed in the US even in EU zones. n8n Cloud processes data in the EU; when self-hosted, you decide the location. Zapier is a US company and processes data in the US, with transfers covered by the EU-US Data Privacy Framework and standard contractual clauses.

Sign the data processing agreement (DPA). All four vendors provide one. Keep it with your record of processing activities.

Control who builds flows. The risk is not the tool, it is sprawl. Flows built by users on personal accounts, shared credentials, and nobody knowing what is running. In Power Automate, DLP policies can stop, for example, a flow from copying SharePoint data to an unapproved external service. In the other tools, centralise accounts on a team plan and name an owner.

Review run history. These tools store each execution’s data for troubleshooting. That is useful, but it is also personal data retention. Set appropriate retention periods.

Watch the AI steps. Steps that send text to AI models may involve additional sub-processors. Check who processes that data and where.

## Frequently asked questions

### Is Power Automate included in Microsoft 365?

In many Microsoft 365 licences, yes, but only with standard connectors (SharePoint, Outlook, Teams, OneDrive and others). Premium connectors, custom connectors and RPA require a Power Automate Premium or Process licence.

### What is the best Zapier alternative?

It depends on why you are switching. If the problem is cost on multi-step flows, Make or n8n are usually cheaper. If the company already uses Microsoft 365, Power Automate may cover most flows without a new subscription. If the problem is data residency, self-hosted n8n gives the most control.

### Is n8n really free?

The Community Edition is free for self-hosting and internal business use. But it is not zero cost: you pay for the server, backups and maintenance time. The cloud version and enterprise features are paid.

### Which of these tools is most GDPR-friendly?

All of them can be used in a GDPR-compliant way, with a signed DPA and sound configuration. The differences are in control over where data lives: self-hosted n8n gives maximum control, Power Automate and Make offer European regions, and Zapier processes data in the US.

### Can I use Power Automate and n8n at the same time?

Yes. Many companies use Power Automate inside Microsoft 365 and n8n for integrations outside Microsoft or with internal systems. The key is to document which tool serves each process and who owns each flow.

## How AvantIT can help

AvantIT implements [Power Automate](https://www.avantit.pt/en/services/power-platform/power-automate/) and the rest of the [Power Platform](https://www.avantit.pt/en/services/power-platform/), and also implements [n8n](https://www.avantit.pt/en/services/power-platform/n8n/), including self-hosted. So the recommendation starts from your process and your data, not from a pre-chosen tool. To see where your company stands, take the [free maturity diagnostic](https://www.avantit.pt/en/maturity-diagnostic/) or [book a demo](https://www.avantit.pt/en/book-a-demo/) and we will work out together which tool is right for each flow.
