A large logistics operator with warehouses in Portugal and Spain was struggling with scattered information. Operations, quality and senior management each used different systems and reports. The new portal unified access to operational documentation and performance indicators in a single control panel.

Technical requirements

  • Hierarchical security: warehouse directors see only their unit; Iberian management sees the aggregate.
  • External access: the ability to share specific reports securely with major clients.

💡 The Solution

Strategic approach Use SharePoint Online as the unifying container, embedding contextual Power BI reports directly into each operational team’s pages. If the team is Warehouse North, the page shows North’s news, North’s procedures and Power BI filtered to North.

Technical implementation

  • Site structure: a Logistics hub site with associated sites by geography.
  • Power BI Embedded: interactive reports inserted through a secure web part, with row-level security filtering the data at source.
  • Intelligent document management: metadata — document type, validity — replaced deep folder trees, enabling dynamic views such as Procedures In Force.
