For most mid-sized companies SharePoint Online is enough, and it is already paid for in your Microsoft 365 licence. It handles versioning, co-authoring, metadata, retention and full-text search including inside PDFs. A dedicated document management system earns its cost when you have regulated records with formal declaration and disposition workflows that Microsoft Purview cannot express.
Metadata, for anything people need to find rather than merely store. Folders describe one hierarchy and force every document into it; metadata lets the same contract be found by client, by year and by status. In practice we use a shallow folder structure for permissions and metadata for retrieval, because permissions are simpler to reason about on folders.
They get migrated, not copied wholesale. The honest part of any migration is deciding what not to move: file shares typically hold a large share of duplicates and documents nobody has opened in years. We analyse first, agree what is archived rather than migrated, and then move the rest with permissions and modified dates preserved.
Yes, and at several levels: tenant-wide sharing policy, per-site settings, sensitivity labels that travel with the file, and DLP policies that block or warn on specific content. The usual mistake is turning external sharing off entirely, which pushes people to email attachments and removes your ability to see anything at all.
The SharePoint side is rarely the long part. Agreeing the information architecture — what metadata, who owns what, what gets archived — is what takes time, and it is work that only your organisation can do. A single department is typically weeks; a full file-server migration is measured in months and is best done in waves.
